HOW IT WORKS

A clearer path
from inputs to payday.

A defined calendar. A review before sign-off. A clear owner for each step. Here is how an agreed monthly payroll engagement comes together.

THE MONTHLY CYCLE

Every stage.
Every responsibility.

The calendar and exact deliverables are agreed for your business. This is the working structure we use to define them.

01

AGREED MONTHLY CUT-OFF

Bring the inputs together.

Start from a controlled input set instead of a moving collection of files.

PAYROLL ADVISOR

Check the agreed input format, log gaps and coordinate clarifications within scope.

YOUR BUSINESS

Provide approved attendance, joiners, exits, pay changes and one-time adjustments by the cut-off.

The next step has: An agreed input set and a list of open exceptions.

02

DRAFT PAYROLL

Prepare. Compare. Query.

Turn confirmed inputs into a draft that your team can meaningfully review.

PAYROLL ADVISOR

Prepare payroll calculations and agreed reports; flag variances and unresolved items.

YOUR BUSINESS

Clarify exceptions and confirm the business rules or approvals needed to resolve them.

The next step has: A draft payroll register, variance review and query list.

03

YOUR REVIEW & SIGN-OFF

Make approval explicit.

Give the right people a clear decision point before the month is finalised.

PAYROLL ADVISOR

Incorporate agreed corrections and share the final review set for approval.

YOUR BUSINESS

Check totals and material changes, resolve open issues and approve the payroll in writing.

The next step has: An approved payroll version with a recorded sign-off.

04

AFTER YOUR APPROVAL

Prepare the payday pack.

Organise the agreed outputs so your authorised team can take the next step.

PAYROLL ADVISOR

Prepare payslips, agreed bank-format files and scoped statutory or accounting summaries.

YOUR BUSINESS

Authorise bank payments and handle or approve statutory actions under the agreed responsibility plan.

The next step has: The agreed payroll output pack. Bank authorisation stays with you.

05

RECONCILIATION & FOLLOW-UP

Close the month clearly.

Keep the follow-through visible and carry useful context into the next cycle.

PAYROLL ADVISOR

Coordinate agreed reconciliations, track scoped evidence and record follow-up items.

YOUR BUSINESS

Confirm payment outcomes and provide required receipts or other completion evidence.

The next step has: An agreed close-out record and next-cycle action list.

BEFORE THE FIRST CYCLE

A considered handover.
A practical starting point.

Moving payroll should start with understanding the opening position and agreeing what a successful transition needs.

01

Define the engagement

  • Headcount, entities and locations
  • Services, exclusions and responsibilities
  • Review calendar and escalation contacts
02

Map the opening position

  • Approved pay structures and opening data
  • Attendance and change-input formats
  • Applicable statutory setup and dependencies
03

Validate the transition

  • Agree whether a parallel run is needed
  • Review differences and close exceptions
  • Confirm sign-off and the first live cycle

Your existing process is the reference point. Opening data, assumptions and any differences are reviewed with your team. A parallel run, where agreed, supports validation before the first live cycle.

How long does onboarding take?

The timeline depends on headcount, data quality, locations, pay structures and the work being transferred. We agree a practical transition plan after reviewing those inputs; no fixed go-live date is promised before scoping.

Can we run alongside our existing process first?

A parallel run can be included when appropriate. We agree which period to compare, the source figures, the differences to investigate and who approves closure before the first live cycle.

What if an input arrives after the cut-off?

We review the change against the agreed calendar and approval status. The parties agree whether it can be included in the current cycle, requires a revised approval or should be handled through a later adjustment.

Who actually sends salaries?

Your authorised business team approves and releases salary payments through your bank. Preparation of payroll or a bank-format file does not authorise or execute a transfer.

How are statutory filings handled?

We agree applicability, calculation inputs, deadlines and each party’s responsibilities for the establishment. Any filing, professional review, payment execution or portal access must be explicitly included in the engagement.

How should we share employee information?

We agree access, an appropriate data-sharing channel and handling arrangements during onboarding. The public enquiry form and WhatsApp chat are for business requirements; do not send employee, salary, bank, identity or biometric records through them.
