Payroll outsourcing in India and what a managed service should include
Payroll outsourcing means appointing a provider to perform agreed payroll activities for your business. It can cover input validation, salary calculations, draft review, payslips, reporting and specified compliance work. It does not automatically transfer your role as employer or give the provider permission to release money from your bank account.
For a founder comparing proposals, the useful question is what arrives at the end of each cycle and who has checked it. A low processing fee means little if HR still has to rebuild the salary register, explain every difference and chase missing statutory records.
Start with the monthly handover
A useful scope identifies the employee master, attendance and variable inputs the provider needs. It then names the outputs: draft payroll, an exception list, a variance report, the final salary register, payslips and agreed bank advice. Record the format and recipient of each output, rather than accepting a broad promise to handle payroll.
Payroll Advisor publishes this input, review, approval and output approach in its managed-payroll service description. Those deliverables should become part of the written engagement for the particular business. [1] [2]
Separate preparation from employer decisions
Your team still needs to confirm joining and exit dates, approve attendance, resolve policy questions and authorise the final payroll. Salary payment and statutory funding need their own owners. A provider can prepare a payment file while your authorised finance team retains control of its execution.
This distinction also improves accountability. If a commission approval arrives late, the record should show whether the employer requested a supplementary run or approved carrying the amount forward. Neither team should quietly change an already approved version.
Ask where compliance begins and ends
Registration support, contribution calculations, challan preparation, filing, payment and responding to notices are different tasks. Ask which are included, which depend on your establishment and who supplies the money. India’s labour-compliance framework requires employers to consider the rules applicable to their workforce; a provider’s scope cannot replace that applicability exercise. [3]
Avoid treating the presence of a PF or ESI line on a payslip as proof that the corresponding deposit has reached the authority. Ask for the filing and payment evidence included in the monthly handover.
A practical comparison
Imagine two proposals for a 120-person business. Both promise payroll processing. One includes only calculations and payslips. The other also identifies input owners, supplies a variance report, prepares the agreed accounting journal and closes a compliance-action list. Compare the effort your team retains under each proposal before deciding which is cheaper.
Ask both providers to demonstrate one fictional cycle with a new joiner, an exit, an attendance correction and an incentive. You will learn more from those four cases than from a long feature list.
The benefit to look for
The strongest benefit is a repeatable process that gives your team less uncertainty and a better review trail. Savings depend on your present workload and the agreed service; they are not guaranteed by outsourcing itself.
