A monthly payroll input checklist for Indian teams
A good payroll input pack answers four questions for every change: which employee, what changed, when it takes effect and who approved it. The pack does not have to be complicated. It does need to be complete enough that the processor can distinguish an instruction from a draft or a duplicate.
Start with one input manifest for the month. List each file or system extract, its owner, the period it covers, its employee count and its approval status. That small control is often more useful than another long checklist with no accountable owner.
Confirm employee master changes
Check joiners, exits, transfers, salary revisions, bank-detail changes and changes to statutory identifiers. Keep the effective date separate from the date someone uploaded the instruction. If an employee joined in September but is first processed in October, both dates matter.
Use stable employee codes across files. A name alone is a weak matching field, especially when several people share it or a name spelling changes. Flag an unknown code for review instead of creating a second employee record to make the upload succeed.
Close attendance and variable payments
State the attendance period, the payable-day method and the status of leave or overtime approvals. Include date-level explanations for unpaid absence corrections where needed. Do not mix an attendance extract ending on the twentieth with a payroll instruction that assumes a calendar-month period without documenting the relationship.
List incentives, overtime, arrears, reimbursements and recoveries separately. Give each amount a description, approval reference and relevant earning period. A column labelled miscellaneous adjustment is difficult for both employees and reviewers to understand later.
Use control totals before processing
Record the number of active employees, joiners and exits. Total variable payments and recoveries. Where attendance is submitted as payable days, check the expected maximum and the treatment of joiners and leavers before accepting the file.
For example, the incentives owner approves ₹1,85,000 for 42 employees. The processor receives a file totalling ₹1,95,000 for 43 rows because one employee was pasted twice. An approved amount and row count expose the problem before it enters a payslip. A file that simply opens successfully does not.
Decide what happens after cutoff
Late inputs need a route, not an informal promise to adjust them somehow. Record whether the current draft can still change, whether an off-cycle payment is approved or whether the amount belongs in a later controlled correction. Check payment deadlines before choosing that route.
Payroll Advisor’s published scope asks clients for approved attendance, variable pay and employee-change instructions by the agreed cutoff. Its monthly process then moves through validation, draft review and employer approval. [1] [2]
Keep a usable final pack
Before handover, check that the manifest matches the actual attachments and that approvals refer to the final versions. Retain the accepted pack with the payroll record, including rejected rows and the decisions that resolved them. Never put employee identity, bank or salary files into a public website enquiry form.
If the same input is late every month, change its ownership or collection process. A checklist should improve the next cycle, not merely document another rushed one.
