How to switch payroll providers during the year without losing opening balances

Changing payroll providers during the year is possible, but the new processor needs more than the latest employee master. It needs enough history to continue calculations, reporting and employee records without losing the connection to earlier months.

The most useful migration document is an opening-balance reconciliation. It states what is being brought forward, which period it covers, who supplied it and who approved it. Without that record, a difference discovered months later can become a dispute about which system was right.

Set the boundary of the handover

Choose the last period the outgoing provider will process and the first period the incoming provider will process. Separately identify responsibility for late corrections, quarter-end statements and annual certificates. A provider change does not erase earlier filing obligations.

For tax reporting, keep the applicable year and legal framework attached to the history. The Income Tax Department’s transition FAQs distinguish pre-April 2026 obligations from those under the Income-tax Act, 2025. An older-period correction should not be pushed into a new-year file simply because you changed software. [2]

Reconcile employee level history

Prepare cumulative earnings, deductions, taxes, employer contributions, recoveries and outstanding adjustments. Keep current salary masters separate from amounts actually earned. An annual salary rate is not a substitute for earnings already processed during the year.

Confirm employee identifiers, joining dates, approved exits and membership references. EPFO’s member guidance emphasises the importance of UAN and previous-membership information; losing that link during migration creates avoidable work for employees. [3]

Use an acceptance sheet

For each balance, record the source file, reporting period, control total and approval owner. Mark disputed figures as unresolved instead of silently forcing them to match. Include employee-level checks for a joiner, an exit, an incentive, a loss-of-pay correction and a salary revision.

Suppose the outgoing report shows ₹8,40,000 of year-to-date taxable earnings for an employee while the new upload contains ₹8,04,000. The overall payroll total may still look reasonable. A specific employee-level opening-balance check will reveal the ₹36,000 difference before it affects a later tax forecast.

Run one meaningful parallel comparison

Process an agreed period in both environments using the same approved inputs. Compare gross pay, individual deductions, net pay, employer cost and the output files your finance team uses. Categorise differences as input, policy, configuration, rounding or genuine error.

A parallel run is useful only if someone approves the differences and confirms readiness. Payroll Advisor’s transition approach includes opening-data reconciliation and a parallel review before the monthly process is established. [1]

Preserve the exit and the first live cycle

Retain readable historical registers, approval records, filing acknowledgements and payment evidence under the applicable retention schedule. Confirm access arrangements before the outgoing service ends. After the first live cycle, review employee questions and exceptions rather than assuming a successful upload completed the migration.

A careful handover may take more coordination at the start, but it prevents the new provider from inheriting unexplained numbers. Ask Payroll Advisor to review your transition requirements before committing to a first processing month.
