What happens to ESIC when an employee receives a salary increase

A salary increase can take an employee above an ESI coverage threshold without making an immediate stop to contribution the correct response. Payroll needs to review the employee’s existing coverage, the effective increase and the relevant contribution period before changing the category.

ESIC’s published FAQ explains the contribution-period continuity principle for an employee whose wages rise above the limit after a period has begun. [1] That booklet is historical, so its old monetary limits and payment dates must not be copied into current payroll. Use the principle with the current Code, rules and ESIC instructions.

Record when the increase actually takes effect

Keep the approval date, effective date, first payment month and previous salary position. These dates can differ when an increment is approved retrospectively. Avoid using the date HR entered the revision as a substitute for the underlying employment instruction.

Also record the wage definition used for the coverage test. The Ministry’s March 2026 FAQ addresses the Social Security Code wage definition and the then-current ESI threshold. [2] A change in components may matter even if the headline CTC movement is modest.

Review the contribution period

Identify the standard contribution period applicable to the employee and whether they were already covered at its start or entry point. Do not recalculate eligibility from scratch every month without considering continuity.

For illustration, a covered employee receives an increase in November during an October-to-March contribution period. The reviewer should assess the continuity position for that period and the next review point. It should not simply turn the ESI switch off because November’s salary total is higher.

Do not cap every calculation at the coverage threshold

A coverage threshold and contribution wages answer different questions. ESIC’s historical FAQ explains why contributions can continue on the relevant wages after the employee crosses the entry limit during a contribution period. [1] Current wage definitions and operating instructions must govern the actual amount used.

Keep the approved calculation basis in the employee record. If a reviewer sees wages above the threshold and a contribution deduction, the explanation should be available without searching through an old email chain.

Handle retrospective cases carefully

An increment announced later can raise separate questions about the period of coverage and the treatment of arrears. Do not apply a general spreadsheet rule to every retrospective case. Review current ESIC guidance and document the method approved for the particular circumstances.

Where the portal position and internal calculation do not agree, resolve the cause rather than lowering an unrelated wage amount just to obtain a successful upload.

Tell the employee what will change

Explain the salary revision, the coverage decision, the expected review point and any change to deductions. Keep employer contributions distinct from employee deductions. Use the contribution and rounding framework in the effective 2026 rules where applicable. [3]

A controlled review avoids both premature removal and indefinite continuation without reassessment. Payroll Advisor can support the employee-level working and reconciliation once the applicable treatment and responsibilities are confirmed.
