Payslips payroll registers and record retention under the 2026 rules

A payslip explains an employee’s pay for a period. A payroll register supports the employer’s calculation and recordkeeping. Approval records, attendance inputs and statutory deposit evidence explain how the result was reached. Keeping only the PDF payslip leaves gaps in that evidence.

The practical aim is a record set that can answer an employee query, support reconciliation and meet applicable legal requirements. A folder full of final files is less useful if no one can identify the approved version or retrieve the inputs behind it.

Identify the required records

The Social Security Central Rules, 2026 address employee, attendance and wage records and wage slips. Rule 53 also specifies preservation of the covered registers and records for five calendar years from the last entry. [1] The Code on Wages Central Rules contain the relevant wage-related forms and procedures for the central sphere. [2]

Check jurisdiction before applying a central form mechanically. State requirements, establishment type and the purpose of the record can change the obligations. A convenient software export is not necessarily the entire statutory register.

Avoid a single universal deletion rule

Different records can have different retention requirements. For example, Maharashtra’s official profession-tax rules include a separate preservation requirement for covered records. [3] That illustrates why a single instruction to delete all payroll documents after five years may be inappropriate.

Build a schedule that records the document type, applicable rule, retention trigger, period, access owner and deletion conditions. Include longer requirements arising from other applicable laws, ongoing proceedings, agreements or a legal hold where relevant. Do not retain unnecessary data forever simply because the schedule is difficult to maintain.

Keep the calculation trail

For a monthly payroll, retain the accepted input version, calculation, variance explanations, approval, final register and relevant payment evidence. Link any correction to the original version and the decision authorising the change.

Imagine an employee questions an unpaid-absence deduction after leaving. A payslip shows the deduction, but the approved attendance record and correction history show whether it was justified or later reversed. Without that trail, the team may have to reconstruct an old decision from personal inboxes.

Make retrieval and access practical

Use consistent period and version labels. Keep payroll records in an authorised location with access appropriate to each role, rather than distributing the full register to every manager. Test whether the responsible team can retrieve a specified employee and period without depending on one person’s computer.

An employee portal should also have a defined process for former employees who need records after their work account closes. The method must protect confidentiality while still allowing legitimate requests to be handled.

Review before deleting

Confirm that the retention period has expired, no applicable hold remains and deletion is authorised. Record what was deleted and how backups are addressed. Review the schedule when a law, system or service provider changes.

Payroll Advisor’s agreed reporting and portal scope can support the output and handover process. The employer should still own a documented retention policy and confirm which records the provider retains or returns.
